Start a Pilot

A pilot is a guided 2–3 week rollout for one facility to validate workflow fit, team adoption, and reporting needs before broader rollout.

Who it’s for

Pilots for teams that need real workflow validation

The pilot is designed for teams that want to confirm operational fit before scaling to more sites.

  • Gyms with multiple sites or growing operations
  • Teams moving away from spreadsheets or shared docs
  • Managers who need inspection visibility by location
  • Operations with mixed PPE types and recert tracking
  • Teams that want access based on user roles and accountability

Pilot outcomes
What you get

Clear outcomes by the end of the pilot

We focus on tangible results so you can decide what a full rollout should look like.

  • Seeded inventory baseline for a single facility
  • Inspection workflows configured and tested with your team
  • Status visibility for due, overdue, and recert items
  • Locations organized for batch inspections
  • Exportable records for internal reviews
Timeline

Three phases, 2–3 weeks total

We keep the pilot tight so you can make a decision quickly.

Phase 1
Kickoff & configuration

Week 0 (days 1–2): define scope, import a starter inventory set, and align inspection intervals.

Phase 2
Run workflows

Week 1–2: your team runs inspections and location workflows with real equipment.

Phase 3
Review & rollout recommendation

End of pilot: review results, adoption friction, and next step rollout options.

Billing & Data

Your pilot data stays with you if you proceed

We provision a pilot workspace (tenant) for your organization. If you choose to proceed, we convert that same tenant into your production workspace so your data remains intact.

  • Billing starts when you approve conversion to production.
  • You own your data, including pilot records and configuration.
  • If you proceed, pilot data becomes your production data.
  • If you do not proceed, we may disable the tenant and retain or delete data according to the Privacy Policy and Terms.
Pilot data continuity
What we need

Your inputs make the pilot smooth

We keep the lift light, but a few inputs are required to get started.

  • Point of contact for scheduling and feedback
  • 60–90 minute kickoff session
  • Sample inventory list (CSV or export)
  • Facility/location list and role expectations
  • Agreement on pilot success criteria
Safety & Compliance Note
Tools for documentation, not certification

Beta Break is software for documenting inventory and inspection workflows. We are not a compliance authority or certification body, and the platform does not replace competent-person inspections, manufacturer guidance, or regulatory obligations. Customers remain responsible for safety decisions and compliance requirements.
